Outlook Calendar Time – How to Motivate Employees to Track Time

Let’s face it, in the workplace, although time tracking software and systems have been proven on numerous occasions to be extremely beneficial, it’s unfortunately pretty difficult to get your employees as excited about it as you, the owner or manager. Some employees will feel as if they’re being spied on and monitored constantly when you implement a new time tracking solution into the workplace, which is why it’s so beneficial for you to help get your employees on board and realize just how beneficial it really is. Outlook calendar time tracking systems for example, are especially popular and are being implemented in businesses big and small, all across the globe. Here we’ll be taking a look at a few helpful tips to help you track time effectively in the workplace, particularly when it comes to your own employees and how they feel about time tracking in general, and not least how to motivate employees to track time.

Show employees why it’s beneficial

Many employees will at first be wary of time tracking solutions, yet if you take the time to actually show them why it’s so beneficial, they will quickly change their tune and see things from your point of view. If you’ve chosen to implement an Outlook calendar time tracking system for example, be honest and explain why you’re doing it. Explain that not only will it save the business money, but that it will also help save employees time and resources as well as avoid any disputes regarding their pay. On top of that, explain that it will help to manage time more constructively so that high priority jobs can be tackled first. Ultimately you should show how this will not only boost productivity, but also morale in the workplace too, which is hugely, hugely important.

Give employees space

Now that your employees know what time tracking is, why it’s so beneficial, and why you’re choosing to implement it into your business, the next thing you need to do is to give your employees a little space. You will now be able to monitor them more closely and see exactly how they’re using their time etc., but that doesn’t mean that you should be constantly breathing down their necks. For example, if an ordinarily punctual employee happens to clock in late, don’t immediately pull them up about it and show them the evidence on the screen. If this keeps on happening over and over, then you will need to say something but don’t use the software as a means of monitoring their every move as this will only cause them to resent you and the software in general.

Be firm but fair

As mentioned, now that you’ve got a better idea of how employees are using their time, you will get a better insight into how they spend their days. If you do feel they are wasting their time slightly, or perhaps not using it as effectively as they should be or on the right tasks and projects, you can have a word with them, but make sure that you’re fair and understanding with them. See what they have to say, explain it from your point of view, and mention that perhaps in the future, it may be worth designating more time to the more high priority tasks instead. It will take time to get used to any new system, so make sure that you’re patient with your team members, and above all else, make sure you’re fair to them.
